Position Overview
We are looking for a reliable and detail-oriented Administrative Assistant to join our team in Hewitt, Texas. The ideal candidate will be organized and efficient. They should be able to handle a variety of tasks in a fast-paced environment. This role is critical for ensuring smooth day-to-day operations. It also involves providing exceptional service to our clients.
Key Responsibilities
Phone Management: Answer and direct incoming phone calls with professionalism and courtesy.
Service Calls: Log service calls and ensure timely follow-up and resolution.
Customer Service: Provide excellent customer service, addressing inquiries and resolving issues promptly.
Order Packing: Prepare and pack small consumable orders for clients, ensuring accuracy and timeliness.
Shipping: Create shipping labels and manage the shipping process for client orders.
Filing: Maintain organized filing systems for easy access to company documents.
Spreadsheet Creation: Develop and manage spreadsheets for various administrative tasks.
Vendor Communication: Coordinate with vendors to ensure the timely supply of products and services.
Customer Check-Ins: Proactively call customers to check in and address any needs or concerns.
Supply Runs: Perform occasional supply runs as needed.
Executive Support: Assist the President with tasks and projects when they are present.
Collection Calls: Contact customers who are past due on invoices to collect payment.
Qualifications
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Previous experience in an administrative role is required.
Ability to handle tasks with attention to detail and accuracy.
Valid driver’s license for occasional supply runs.
